DEFINING YOUR VISION OF THE PERFECT EVENT

We understand this is your event and how it turns out will reflect on you as the host.    What defines your event as “perfect” may be different for another client.   With this in mind we want to learn all we can about your ideas and what will make this event a perfectly memorable one.   Once we understand your vision we can get to work for you by providing cost estimates.

ü PROVIDING COST ESTIMATES

Unless you’ve planned an event like this before it is difficult  to know the costs involved.      We can give you a good idea of cost by defining the features of your event that are most important to you and creating an estimate based on services you may require.

ü ESTABLISHING A BUDGET

In order to establish a budget we will need to explore possible venues and vendor options with you.      There are several places in the planning where you may be able to save some money.  For instance, your best friend may work for a printer and can save you a bundle on the invitations.   This allows us to allocate funds toward something else like maybe having a live band instead of a disc jockey.   

ü LOCATING & SECURING THE VENUE YOU DESIRE

One of the most important decisions related to your event is the venue you select.    Some venues provide just about every amenity and service you could possibly need while others include very few amenities and it will be up to you to arrange for equipment and services at an additional expense.   Our Event Planners have compiled a list of venue spaces in the St. Louis / St. Charles area and have them available for you to consider.   This list is always evolving as new spaces become available.   Most listings offer details of the amenities the venue provides. All listings have a direct link to the venues web site so you can view pictures and explore the information they provide 
SEARCH VENUES

ü SELECTING & COLLABORATING WITH THE SERVICE PROVIDERS YOUR EVENT MAY REQUIRE

It is very seldom that you will find a venue that provides all of the services you want or need for your event.    It can be very time consuming sorting through the phonebook and searching on line for the right service provider that offers what you are looking for and fits within your budget.      Coordination of the details with your service providers is probably the biggest consumption of time in the planning stages.   If you don’t speak their language it can be difficult to communicate what you want and even more difficult for them to get it right. Not to worry…we speak their language!

ü DIRECTING VENUE STAFF & SERVICE PROVIDERS DURING YOUR EVENT

The Planning Factor Event Planners have reconfirmed the arrangements and the venue and service providers are all poised and ready for your event.   If there are any last minute adjustments to the plan we can be there to direct the venue staff and service providers during your event.     It is time for you to enjoy your role as event host and celebrate your successful event orchestration.
